Rotating an activation key

Merchant Portal → Devices → the device → Rotate API key.

  1. Copy the new key from the one-time dialog.
  2. On the workstation, open PharmAutomate, click Stop if it is running, then Update API Key and paste the new key.
  3. The old key stops working the moment you rotate — so update the workstation promptly.

Rotate when:

  • the key was lost or you suspect it leaked;
  • the key was shared for Branch Portal access more widely than you want;
  • the machine has been re-imaged or swapped, and the agent now reports that the key is already in use on another computer. Rotating clears that binding — it is the intended fix, not a workaround.

Moving the agent to a different computer

  1. Register a new device in the portal, or rotate the existing device's key.
  2. Install the agent on the new computer with that key.
  3. Uninstall PharmAutomate from the old computer, or rotate the key so the old installation can no longer connect.

Inviting staff

Merchant Portal → Users → New location viewer.

  1. Enter the person's email address and full name.
  2. Tick the branches they may see.
  3. They receive an invitation email — "You've been invited to PharmAutomate" — with a set-password link, and can then sign in to view dashboards, transactions, and sync activity for their branches. Read-only.

Note: From the merchant portal you can create location viewers. Changing someone's role — for example promoting them to an administrator — is done by Skypond. Ask support.

Account status emails

If an organisation is suspended or reactivated, the billing address and active administrators are emailed. Welcome mail goes to both the initial administrator and the billing address.

Session length

Portal sessions are deliberately long-lived; you should not be asked to sign in daily. If you are being logged out repeatedly, tell Skypond support — that indicates a configuration problem, not intended behaviour.
